iBuildReviews is operated by iBuildLocal ("iBuildLocal", "iBuildReviews", "we", "us" or "our").
We respect your privacy and are committed to handling personal information responsibly.
This Privacy Policy explains how we collect, hold, use and disclose personal information when you:
- visit the iBuildReviews website;
- create or use an iBuildReviews business account;
- use the iBuildReviews application;
- receive or interact with a review request sent using iBuildReviews;
- use an iBuildReviews review-assistance link or QR code;
- provide testimonial permission;
- contact us; or
- otherwise interact with our services.
This policy applies both to businesses that use iBuildReviews and to individuals whose information is processed through the service.
1. About iBuildReviews
iBuildReviews is a business software service that helps businesses request reviews and testimonials from genuine customers.
Businesses can provide customer contact information to iBuildReviews so that review requests and reminders can be sent on their behalf.
Customers may also access iBuildReviews directly through a review link or QR code without first having their email address provided to us.
iBuildReviews can assist customers in preparing a review draft based on information they choose to provide.
Customers remain in control of whether they use, edit or submit a review.
iBuildReviews does not automatically publish reviews to third-party review platforms and does not receive confirmation from those platforms that a review has been published.
PART A — INFORMATION WE COLLECT
2. Information About Business Account Holders
When a business creates or uses an iBuildReviews account, we may collect information including:
- first name;
- last name;
- business name;
- email address;
- account and authentication information;
- subscription and billing status;
- Google review URL;
- account activity;
- communications with us; and
- information necessary to administer the business's use of iBuildReviews.
Businesses may also configure settings within the application relating to the operation of their account.
3. Customer Information Provided by Businesses
Businesses using iBuildReviews may provide us with personal information about their customers so that iBuildReviews can provide review-request services on their behalf.
This information may include:
- customer name;
- customer email address;
- information associated with the status of a review request;
- email delivery and verification information;
- unsubscribe or suppression status; and
- internal information necessary to manage the review-request process.
iBuildReviews does not currently require businesses to provide customer telephone numbers as part of the customer upload process.
The business providing this information is responsible for ensuring that it has the right to collect, use and provide the information to iBuildReviews and to contact the individual for the relevant purpose.
4. Information Provided During Review Assistance
A person may interact with iBuildReviews after:
- receiving a review-request email;
- clicking a review link;
- scanning a QR code; or
- accessing another review-assistance link provided by a business.
During that process, the person may voluntarily provide information about their experience with the relevant business.
We use the information entered during the review-assistance process to provide the requested functionality, including preparing a review draft.
We do not use this Privacy Policy to disclose the specific questions, prompts, workflows or methodology used by iBuildReviews to assist in preparing a review.
The information provided for review-generation purposes is processed as necessary to provide the review-assistance feature and is not stored by iBuildReviews as part of the customer's ongoing review record.
Limited technical information may nevertheless be generated through ordinary server, security or operational logging.
A person using a direct review link or QR code can complete the review-assistance process without providing iBuildReviews with an email address.
5. Testimonials
After using the review-assistance process, a customer may be offered the opportunity to allow their feedback to be used as a testimonial.
Participation is voluntary.
Where a person chooses to provide testimonial permission, we may collect and store:
- the testimonial or approved feedback;
- first name;
- last initial;
- suburb or town;
- information recording that consent was provided; and
- the date and time associated with that consent.
The business receiving the testimonial may have access to this information.
iBuildReviews records the customer's permission through the service, but the business remains responsible for how it subsequently publishes, advertises, displays or otherwise uses an approved testimonial.
6. Email Verification and Delivery Information
To help businesses maintain accurate customer lists and reduce unsuccessful or inappropriate email sending, we may process customer email addresses through services that assist with:
- validating email addresses;
- identifying invalid or potentially problematic addresses;
- managing email delivery;
- recording delivery status;
- handling bounces;
- handling complaints;
- maintaining unsubscribe records; and
- protecting email deliverability and system reputation.
This may involve providing an email address to service providers that perform those functions on our behalf.
7. Information We Collect Automatically
When you visit or use iBuildReviews, our systems and service providers may automatically collect limited technical information.
This may include:
- IP address;
- browser type;
- device type;
- operating system;
- date and time of access;
- pages or features accessed;
- technical logs;
- error information;
- security-related information; and
- similar technical data.
We may use this information to:
- operate the service;
- maintain security;
- prevent misuse;

We do not intentionally use technical information such as an IP address to determine or insert a customer's location into a review.

The technologies used on the public website may change from time to time as our marketing activities develop.

9. Billing and Payment Information
If you purchase an iBuildReviews subscription, payment information is processed using a third-party payment service.
iBuildReviews does not store your full payment-card number.
We may receive and store limited billing and transaction information necessary to manage your subscription, such as:
- payment or subscription status;
- amount paid;
- billing period;
- transaction or customer identifiers;
- payment success or failure information; and
- limited information about the payment method where provided by the payment processor.
Payment providers process payment information under their own privacy and security practices.
PART B — HOW WE USE PERSONAL INFORMATION
10. Why We Use Personal Information
We may use personal information to:
- create and administer business accounts;
- provide the iBuildReviews service;
- send review requests and reminders on behalf of businesses;
- process customer information provided by businesses;
- provide review-assistance functionality;
- generate review drafts;
- manage testimonials and testimonial permissions;
- validate email addresses;
- manage unsubscribes and suppression lists;
- process subscriptions and billing;
- provide customer support;
- respond to enquiries;
- operate, secure and maintain our systems;
- prevent fraud, spam, misuse and abuse;
- investigate technical or security problems;
- improve the service;
- communicate important service or account information;
- send marketing communications where permitted;
- measure and improve our marketing;
- comply with legal obligations;
- resolve disputes; and
- enforce our Terms of Use.
We will not use personal information for an unrelated purpose where doing so would be contrary to applicable privacy law.
11. Review-Assistance and Artificial Intelligence
Some iBuildReviews features use artificial intelligence or other automated technologies to assist a customer in preparing a review draft.
Information voluntarily entered into the review-assistance feature may be provided to third-party artificial intelligence service providers for the purpose of generating the requested draft.
We do not represent that information processed through an artificial intelligence provider will be used to train or not train that provider's general artificial intelligence models unless we have confirmed that such a commitment applies.
We therefore encourage users not to enter unnecessary personal information into review-assistance fields.
In particular, users should not provide sensitive personal information through the review-assistance process.
The resulting review draft is provided to the customer to review and control. iBuildReviews does not automatically publish that review.
12. Sensitive Information
iBuildReviews is not designed to collect sensitive personal information through the review-assistance process.
Please do not enter information such as:
- health or medical information;
- financial-account information;
- government identification numbers;
- passwords;
- information concerning race or ethnicity;
- religious beliefs;
- political opinions;
- sexual orientation or sex-life information;
- criminal-record information; or
- other sensitive or highly confidential personal information.
If sensitive information is provided to us unintentionally, we may delete or restrict access to it where reasonably practicable and appropriate.
PART C — WHEN BUSINESSES PROVIDE CUSTOMER INFORMATION
13. The Business's Responsibility for Customer Data
When a business provides customer information to iBuildReviews, that business determines which customers it wishes to contact and provides the relevant customer information to us.
The business is responsible for ensuring that:
- the information was obtained lawfully;
- it is entitled to use the information for the intended purpose;
- it is entitled to provide that information to iBuildReviews;
- it has any consent or other lawful basis required to contact the customer;
- the review request relates to a genuine customer relationship or experience; and
- its use of iBuildReviews complies with applicable privacy, spam, electronic communications and marketing laws.
iBuildReviews processes that information for the purpose of providing the requested service to the business.
14. Unsubscribes and Suppression Records
Recipients of relevant email communications may be able to unsubscribe or otherwise request that further communications stop.
Where a person unsubscribes, we may retain limited information necessary to record and honour that request.
For example, we may maintain an email address or another identifier on a suppression or do-not-contact record.
This means that an individual's email address may not always be completely deleted following an unsubscribe request where retaining limited information is reasonably necessary to ensure that the individual is not contacted again through the relevant service.
Businesses must not attempt to circumvent unsubscribe or suppression controls.
PART D — DISCLOSURE OF PERSONAL INFORMATION
15. Service Providers
We use third-party service providers to operate iBuildReviews.
Depending on the service being provided, personal information may be processed by providers that assist us with functions such as:
- website and application hosting;
- databases and data storage;
- authentication;
- email delivery;
- email-address verification;
- artificial intelligence processing;
- payment processing;
- security and fraud prevention;
- analytics;
- advertising and marketing;
- technical infrastructure; and
- software support.
We provide service providers with personal information only to the extent reasonably necessary for them to perform the relevant services.
We do not need to use the same service providers indefinitely and may change providers as our technology and business evolve.
16. Businesses Using iBuildReviews
If you are an individual whose information was provided to us by a business using iBuildReviews, information relating to your interaction with the service may be available to that business where necessary to provide the service.
This may include information such as:
- your name and email address where provided by the business;
- review-request status;
- delivery or verification status;
- whether you have unsubscribed;
- testimonial information you have voluntarily approved; and
- other information reasonably necessary for the business to manage its review-request process.
We do not provide a business with private information merely because an individual used a direct QR code or review link where that information was not otherwise provided or collected.
17. Third-Party Review Platforms
iBuildReviews may direct a customer to an independent third-party review platform.
When you leave iBuildReviews and interact directly with another platform, that platform collects and processes information according to its own privacy policy and terms.
iBuildReviews does not control the privacy practices of third-party review platforms.
We do not receive access to your third-party account merely because you follow a link from iBuildReviews.
We also do not receive confirmation from a third-party review platform that you ultimately posted a review unless information is separately provided to us.
18. Legal and Protective Disclosures
We may disclose personal information where reasonably necessary to:
- comply with applicable law;
- comply with a lawful court order, subpoena or government request;
- investigate suspected fraud, abuse or unlawful activity;
- protect the security of iBuildReviews;
- protect the rights, property or safety of iBuildLocal, our users or others;
- establish, exercise or defend legal claims; or
- enforce our Terms of Use.
19. Business Transfers
If iBuildLocal or iBuildReviews is involved in a sale, merger, restructure, financing, acquisition or transfer of all or part of the business, personal information may be disclosed to relevant advisers, prospective purchasers or successor organisations as reasonably necessary for that transaction.
Any recipient will be expected to handle personal information appropriately and subject to applicable law.
20. We Do Not Sell Customer Information
We do not sell personal information.
We do not rent customer lists to third parties.
We do not provide customer email lists uploaded by iBuildReviews businesses to unrelated third parties for those third parties to independently market their products or services.
Use of service providers to operate iBuildReviews or advertising technologies on our public website is not treated by us as selling a business customer's uploaded customer list.
PART E — INTERNATIONAL PROCESSING
21. Overseas Processing and Storage
Some of the technology and service providers used to operate iBuildReviews operate internationally.
As a result, personal information may be processed, transmitted or stored outside Australia.
This may include processing or storage in the United States and potentially other countries in which our service providers or their infrastructure operate.
Because cloud infrastructure and service-provider arrangements can change, it may not always be practicable for us to identify every country in which information may be temporarily processed or technically accessible.
Where applicable, we take reasonable steps in selecting and using service providers and in handling overseas disclosures in accordance with applicable privacy requirements.
Privacy and data-protection laws in other countries may differ from those in Australia.
PART F — RETENTION AND DELETION
22. How Long We Keep Personal Information
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and for legitimate operational, legal and business requirements.
This may include retaining information as necessary to:
- provide an active account;
- allow an account to be reactivated;
- maintain billing and transaction records;
- honour unsubscribe requests;

- prevent fraud or abuse;
- maintain system security;
- resolve disputes;
- enforce our agreements; and
- maintain appropriate business records.
When personal information is no longer reasonably required, we will take reasonable steps to delete or de-identify it where appropriate.
Information may remain for a limited period in backups, logs or disaster-recovery systems after deletion from active systems.
We do not promise indefinite storage of information following cancellation or termination of an account.
23. Account Cancellation
When an iBuildReviews business account is cancelled or becomes inactive, we may retain personal information associated with that account in accordance with the purposes described above.
Cancellation of an account does not necessarily cause all information to be immediately deleted.
Businesses should retain their own copies of information they independently need to keep.
PART G — ACCESS, CORRECTION AND PRIVACY REQUESTS
24. Access to Personal Information
You may contact us to request access to personal information that we hold about you.
We may need to verify your identity before providing information.
In some circumstances, applicable law may permit or require us to refuse access to particular information. If that occurs, we will explain the basis for the refusal where required and appropriate.
25. Correcting Personal Information
If personal information we hold about you is inaccurate, incomplete or out of date, you may ask us to correct it.
Business account holders may also be able to update certain information directly through their account.
We may take reasonable steps to verify requested changes before making them.
26. Deletion Requests
You may contact us to request deletion of personal information we hold about you.
Whether information can be deleted will depend on:
- why we hold it;
- whether we are processing it on behalf of an iBuildReviews business;
- whether we have a legal or legitimate need to retain it;
- whether it is required to maintain an unsubscribe or suppression record;
- whether it appears in backup systems; and
- applicable legal requirements.
Where we are processing customer information primarily on behalf of a business that supplied the information, that business may be responsible for deciding how its underlying customer records should be handled.
If you contact iBuildReviews directly, we will assist with the request where reasonably possible and may refer or coordinate the request with the relevant business where appropriate.
27. Customers of Businesses Using iBuildReviews
If you received an iBuildReviews communication because a business provided your information to us, the business that you dealt with is generally responsible for the original customer relationship and for deciding to provide your information to iBuildReviews.
Questions about why the business holds your information or why it chose to contact you may therefore need to be directed to that business.
You may nevertheless contact iBuildReviews about information processed through our service.
We will take reasonable steps to assist and, where appropriate, work with or refer you to the relevant business.
PART H — COMMUNICATIONS
28. Service and Account Communications
If you have an iBuildReviews business account, we may send communications necessary to provide and administer your account.
These may include:
- account notices;
- security notifications;
- billing information;
- subscription notices;
- important service updates;
- password or authentication communications; and
- support communications.
Because these communications may be necessary to operate your account, they may not always be optional while you maintain an active account.
29. Marketing Communications
We may send business account holders information about:
- iBuildReviews features;
- product updates;
- education and onboarding;
- offers;
- promotions; and
- other information relating to our services.
Where required, marketing communications will include an appropriate method to unsubscribe.
You may unsubscribe from marketing communications without preventing us from sending necessary account, billing, security or service communications.
We do not use customer email lists uploaded by businesses to market iBuildReviews directly to those businesses' customers.
PART I — SECURITY
30. How We Protect Personal Information
We take reasonable technical, administrative and organisational measures designed to protect personal information against:
- unauthorised access;
- unauthorised disclosure;
- misuse;
- interference;
- loss;
- alteration; and
- destruction.
These measures may include access controls, authentication systems, security monitoring and the use of service providers with appropriate security capabilities.
However, no internet-based or electronic system can be guaranteed to be completely secure.
You are also responsible for protecting your account credentials and devices.
31. Data Breaches
We maintain procedures for responding to suspected or actual personal-information breaches.
If a data breach occurs, we will investigate the circumstances and take reasonable steps to contain and address the incident.
Where applicable law requires us to notify affected individuals, a regulator or another authority, we will take steps to make the required notifications.

iBuildReviews is intended for use by people aged 18 years or older.
Business account holders must be at least 18 years old.
The customer-facing review and testimonial features are also intended for people aged 18 years or older.
We do not knowingly seek to collect personal information from children through iBuildReviews.
If you believe a person under 18 has provided personal information to us, please contact us so that we can review the circumstances and take appropriate action.
PART K — THIRD-PARTY LINKS
33. External Websites and Services
iBuildReviews may contain links to websites or services operated by third parties.
These may include review platforms and other services relevant to the operation of iBuildReviews.
We are not responsible for the privacy practices, content or security of third-party websites once you leave iBuildReviews.
You should review the privacy policies of those organisations when providing personal information directly to them.
PART L — PRIVACY COMPLAINTS
34. Making a Privacy Complaint
If you have a question or concern about how we handle your personal information, please contact us.
Please provide enough information for us to understand and investigate your concern.
